[Faccus] Connect email maintenance - April 22 to June 30

What is being done?  Moving Connect email accounts to new storage locations.

Why is this being done? The existing Connect mailbox storage has grown to the point that we need to divide accounts into smaller groups (mailbox databases). This will allow better use of existing mailbox storage space and improve recovery time from backup on individual mailboxes.

When is it being done?  Daily 7pm to 7am starting April 22nd until June 30th (estimate). Depending on progress, some weekend work may be required.

What is the impact to Connect users? You can still use your Connect email account when your mailbox is being moved. At the end of the move, the mailbox will be disconnected from the old storage location and connected to the new storage location. If you are using your email at this point, here's what you may experience:

*       Outlook desktop (Windows): may see a prompt indicating that the administrator has made a change that requires you to re-authenticate (re-enter username and password);

*       Outlook desktop (Mac): may see a prompt indicating that a mailbox move is in progress followed by a prompt that the mailbox is "temporarily unavailable". You will  need to restart or relaunch your Outlook program. Any messages that you are working on or messages that you have tried to send will be saved in the "Drafts" folder. After restarting Outlook, open the message in your draft folder and send it;

*       Mac Mail: the account may go offline and may not reconnect (even after restarting Mac Mail). If this happens, edit the account preferences and uncheck the option to "use autodiscover service". Set the internal and external servers to "connect.uwaterloo.ca". Restart Mac Mail and it should reconnect.

*       Thunderbird and other IMAP: should reconnect and re-authenticate, but you may be prompted for your username and password;

*       Outlook Web App (OWA) - https://connect.uwaterloo.ca: will be prompted to re-authenticate. If OWA is being used to compose or send a message in the final stages of the move, a message will be displayed indicating that you need to wait and try again later (this may take up to 5 minutes). You will be able to send the message that you have composed without restarting as long as you do not close the browser window containing the message.
